How to add your shifts to your calendar app
The shift calendar can download every shift for the next 12 or 24 months as a calendar file (.ics). Calendar apps can import it, so your shifts sit right next to everything else in your life. First, open the calendar, set up your schedule, click Add to calendar and download the file. Then follow the steps for your app.
Google Calendar
- On a computer, open calendar.google.com. The phone app can't import files, but shifts you import here show up on your phone too.
- Recommended: make a calendar just for shifts. Next to Other calendars, click + → Create new calendar, name it "Shifts", and click Create calendar.
- Click the gear icon → Settings → Import & export.
- Click Select file from your computer and choose the calendar file you downloaded.
- Under Add to calendar, choose "Shifts", then click Import.
iPhone or iPad
- Recommended: make a calendar just for shifts. In the Calendar app, tap Calendars → Add Calendar, and name it "Shifts".
- Open the shift calendar in Safari, tap Add to calendar and download the file.
- Tap the download, or open it from the Files app in the Downloads folder.
- Tap Add All, then choose your "Shifts" calendar.
Mac Calendar
- Open the Calendar app. Optional: choose File → New Calendar and name it "Shifts".
- Choose File → Import… and pick the downloaded file.
- Choose the "Shifts" calendar and click OK.
Outlook
- Open outlook.com (or Outlook on the web) and go to Calendar.
- Click Add calendar → Upload from file.
- Choose the downloaded file, pick a calendar and click Import.
Android phones
Most Android phones use Google Calendar. Import on a computer using the Google Calendar steps above, and the shifts will sync to your phone. Some other calendar apps, such as Samsung Calendar, can also open a .ics file directly: try tapping the file in your downloads.
Questions
Why can't I import on the Google Calendar phone app?
Google's phone apps don't have an import option. Import once on a computer at calendar.google.com, and the shifts appear on your phone automatically because they're part of your Google account.
Will the shifts update if my schedule changes?
No. An imported file is a one-time copy. If your rotation changes, delete the "Shifts" calendar you made and import a new file. Keeping shifts in their own calendar makes this a one-click cleanup.
Why do my shift times look wrong?
Shift times come from the times set in your schedule (under "Shift times"). They're written without a time zone, so a 7:00 am shift shows at 7:00 am wherever your calendar is set. If they look wrong, check the shift times in your schedule, then download and import again.
How far ahead does the file go?
You choose: 12 or 24 months, starting from the beginning of the current month.
